Microsoft Teams Default Profile Picture: How to Change It

If you’ve ever joined a Teams meeting and noticed your profile shows a plain grey silhouette or just your initials instead of an actual photo, you’re not alone. That’s the Microsoft Teams default profile picture, and many people want to replace it with something more personal or professional.

In this tutorial, I’ll walk you through everything: what the default profile picture actually is, how to change it across different platforms, what happens when it doesn’t update, and how admins can manage this for their entire organization.

Let’s get into it.

What Is the Default Profile Picture in Microsoft Teams?

When you first set up Microsoft Teams, your profile picture area shows either:

  • Your initials (like “JD” for John Doe), displayed in a coloured circle
  • A grey silhouette icon — this is the true “default” when Teams can’t pull any info from your account

This happens because Teams doesn’t automatically grab a photo unless you’ve set one up. The initials display is actually Teams being helpful — it generates a coloured avatar from your name. The grey person icon, though, usually means something hasn’t been configured yet.

Your Teams profile photo is actually part of your Microsoft 365 account, not just Teams. So when you change it in Teams, it syncs to Outlook, SharePoint, Planner, and other M365 apps too. That’s a good thing — you only have to do it once.

Change Microsoft Teams Default Profile Picture

Here, I will show you a different method for changing the Default Profile Picture in Microsoft Teams.

Method 1: Change Your Profile Picture in Teams Desktop App

This is the most straightforward way if you’re on a Windows PC or Mac.

Here’s exactly what to do:

  1. Open Microsoft Teams on your desktop
  2. Click your profile picture or initials in the top-right corner of the screen
  3. When the account panel opens, hover over the picture/initials — you’ll see a small camera icon appear
  4. Click that camera icon (or click the photo itself again)
  5. Select Upload to choose a new photo from your computer
  6. Once you’ve selected the file, click Save

That’s it. Teams will apply the new picture and start syncing it across the Microsoft 365 ecosystem.

A few things to keep in mind:

  • The change may take a few minutes (sometimes longer) to appear everywhere
  • Teams works best with a square image in JPG or PNG format
  • Keep the file size reasonable — under 4 MB is the safe range

Method 2: Change Your Profile Picture via the Teams Web App

If the desktop app is giving you trouble, the web version at teams.microsoft.com is a great alternative — and it often works better for syncing.

Here’s how:

  1. Open your browser and go to teams.microsoft.com
  2. Sign in with your Microsoft account credentials
  3. Click the Settings icon (gear icon) on the left sidebar under the Activity tab
  4. Go to Accounts from the sidebar
  5. Click your current profile picture
  6. Select Remove picture first (yes, even if you want to upload a new one — this clears any stuck cache), then click Upload picture
  7. Choose your photo, click Open, then hit Save

This web method is particularly useful if your desktop app is showing the old photo or not syncing properly. Many Teams users on the Microsoft forums have confirmed that this approach gets the photo to update and sync correctly.

Method 3: Change Your Profile Picture via Microsoft 365 Account Settings

Here’s something many people don’t know — you can also change your Teams profile photo directly through your Microsoft 365 account, and it will push that change everywhere including Teams.

Steps:

  1. Go to myaccount.microsoft.com and sign in
  2. Click your profile initials or photo in the top-right corner
  3. Click My Account
  4. On the profile page, click on the existing photo or initials
  5. Click Upload a new photo, choose your file, and save

Because this is tied to your core Microsoft account, the change propagates to Teams, Outlook, SharePoint — the whole stack. This is often the cleanest method.

Method 4: Change Profile Picture on Teams Mobile App

If you’re on your phone, the process is slightly different depending on whether you’re on Android or iOS, but both follow a similar flow.

Steps:

  1. Open the Teams mobile app
  2. Tap your profile picture or initials in the top-left corner
  3. Tap your name to open the profile screen
  4. Tap Update photo
  5. You’ll get the option to take a new photo with your camera or choose one from your gallery
  6. Confirm the change and wait for the confirmation notification

You should see a success message saying the profile photo was updated. Give it a minute or two to sync back to the desktop.

For Admins: How to Change a User’s Profile Picture in Microsoft 365

If you’re a Microsoft 365 admin and need to manage profile pictures for users in your organization — maybe for standardization, onboarding, or brand consistency — here’s how to do it.

Via Microsoft 365 Admin Center:

  1. Go to the Microsoft 365 Admin Center (admin.microsoft.com)
  2. Navigate to Users > Active Users
  3. Click on the specific user’s name to open their details
  4. In the flyout panel, you’ll see their profile photo at the top — click Change photo
  5. Upload the new image and save

Note: You need to be a Global Administrator to do this. Microsoft recommends using the least-privileged role possible, so keep that in mind — use the Global Admin account only if no other option applies.

Via PowerShell (Microsoft Graph):

If you’re managing photos in bulk, PowerShell is a much more efficient approach. Here’s the command structure using Microsoft Graph:

Set-MgUserPhotoContent -UserId "user@domain.com" -InFile "C:\Photos\user-photo.jpg"

For group photos, the command is slightly different:

Set-MgGroupPhotoContent -GroupId "group-id-here" -InFile "C:\Photos\team-photo.png"

This is especially handy during large onboarding batches or when you want to maintain a consistent look across the directory.

Why Is My Teams Profile Picture Not Updating?

This is one of the most common complaints I see from Teams users. You upload a photo, click save, and… nothing changes. Or it updates in one place but not another.

Here are the most likely reasons and how to fix them:

1. Teams Cache is Outdated

The Teams cache stores temporary data to speed things up, but sometimes it holds onto the old photo. Here’s how to clear it on Windows:

  • Close Teams completely (right-click the taskbar icon and select Quit)
  • Press Windows + R, type %appdata%\Microsoft\Teams, and press Enter
  • Select all files and folders inside (Ctrl + A) and delete them
  • Restart Teams and sign back in

2. Sync Delay

Sometimes it just takes time. The profile picture syncs across multiple Microsoft 365 services, and that process isn’t always instant. Wait 10–15 minutes, then sign out and back in.

3. Try the Web Version Instead

If the desktop app is being stubborn, re-upload via teams.microsoft.com. This often forces a proper sync.

4. Admin Has Restricted Profile Photo Changes

In some organizations, the IT admin has locked down the ability for users to change their profile pictures. If you try to upload a photo and nothing happens — or the option is greyed out — check with your IT department. This is a policy-level setting controlled through Microsoft Graph admin settings.

5. Sign Out and Back In

Simple but effective. Sign out of Teams, close the app, reopen it, sign back in, and check the photo again.

6. Restart Your Computer

Sometimes Teams gets itself into a weird state. A full system restart clears it out.

Tips for a Great Teams Profile Photo

While you’re at it, here are a few quick tips to make sure your profile photo looks good across all the places it shows up:

  • Use a square image — Teams will crop it into a circle, so anything that isn’t square may get awkward cropping
  • Stick to JPG or PNG — these are the most compatible formats
  • Good lighting matters — a bright, clear photo beats a dark or blurry one every time
  • Keep the file under 4 MB — anything larger may fail to upload
  • Face the camera and smile — Teams is a professional tool, but it’s also about connecting with people; a friendly photo helps

The Profile Picture vs. Team Picture

Quick note: there’s a difference between your personal profile picture and a Team’s picture (as in, the picture for a specific Teams channel or group).

To change the picture for a team:

  1. Go to the Teams list on the left sidebar
  2. Hover over the team name and click the three dots (More options)
  3. Go to Manage Team > Settings
  4. Click the pencil icon next to the team’s name/picture and upload a new image

This is separate from your personal profile photo, so changing one doesn’t affect the other.

Wrapping Up

Getting rid of that default grey silhouette in Microsoft Teams is pretty simple once you know where to look. The biggest thing to remember is that your Teams profile photo is tied to your Microsoft 365 account — change it in one place, and it updates across Outlook, SharePoint, and Planner too.

If the photo isn’t updating after you’ve set it, clear the Teams cache, try uploading via the web app, or just give it a few minutes and sign out and back in. Those three fixes solve the problem 90% of the time.

And if you’re an admin managing multiple users, PowerShell with Microsoft Graph is the way to go for bulk updates.
