How to Download a Recording from Microsoft Teams [Step-by-Step]

If you’ve ever sat through an important Teams meeting and thought, “I really need to save this,” you’re not alone. Whether it’s a client call, a training session, or a weekly sync you want to revisit — downloading a Teams recording is something a lot of people need to do but aren’t always sure how.

The good news? It’s not complicated. You just need to know where to look.

In this tutorial, I’ll walk you through every way to download a recording from Microsoft Teams — whether it’s from a chat, a channel, OneDrive, or SharePoint. I’ll also cover what to do if the download button isn’t showing up and how to download a recording that someone else made.

Where Does Teams Save Recordings?

Before we get into the steps, it’s worth understanding where Teams stores recordings in the first place — because that determines how you download them.

There are two main storage locations:

  • OneDrive for Business â€” For private meetings, 1:1 calls, and group calls, the recording is saved in the meeting organizer’s OneDrive, inside a folder called Recordings.
  • SharePoint â€” For channel meetings (meetings that happen inside a Teams channel), the recording goes to the SharePoint document library for that channel, under Documents > Recordings.

Knowing this saves you a lot of confusion when you’re hunting for a file.

Now I will tell you a different way to download a Teams meeting you can choose based on your requirement.

Method 1: Download Meeting Recording from the Meeting Chat

This is the easiest and most common way to grab a recording. If you attended the meeting or were invited, you can find the recording in the chat.

Here’s how to do it:

  1. Open Microsoft Teams.
  2. Open the meeting chat for the meeting.
  3. Click View recap (or Recap) at the top.
  4. Locate the meeting Recording. Click Manage.
  5. Select Download to save the recording to your computer.

Quick tip: If you don’t see the Shared tab, scroll up through the chat conversation itself. The recording link is usually posted automatically right after the meeting ends.

Method 2: Download Meeting Recording from a Teams Channel

If the meeting was held inside a channel (for example, your company’s General or Project channel), the recording is stored differently — in SharePoint, not someone’s personal OneDrive.

Here’s how to download it:

  1. Open Microsoft Teams and go to the relevant channel on the left side.
  2. Click the Files tab at the top of the channel.
  3. Open the Recordings folder — Teams creates this automatically for channel meetings.
  4. Find the .mp4 file for your meeting.

  1. Go to onedrive.com and sign in with your Microsoft 365 account.
  2. In the left panel, click on My Files.
  3. Open the Recordings folder.
  4. Find the meeting recording you want.
  5. Right-click on the file (or click the three dots next to it).
  6. Select Download.

  1. Open the Teams channel where the meeting was recorded.

  3. At the top of the Files panel, click Open in SharePoint.

One thing to note: your IT admin may have set a policy that blocks downloads for certain users or channels. If you consistently can’t download recordings even when you have access, it’s worth checking with your IT team — it may be a policy restriction, not a permissions issue.

Why Can’t I Download the Teams Recording?

If the download button is missing or you’re getting an error, here are the most common reasons:

  • You don’t have permission. Only the meeting organizer and co-organizers can edit recordings by default. Others can view, but downloading may be restricted depending on how the file was shared.
  • IT admin policy is blocking downloads. Admins can disable the download option for channel recordings using a Teams meeting policy. If this is the case in your organization, you’ll need to request an exception.
  • The recording has expired. Recordings have an expiration date set by your IT admin. Once expired, they’re permanently deleted and can’t be recovered. If you’re trying to download an old recording and it’s gone, this is likely why.
  • You’re using the wrong account. Make sure you’re signed in with the Microsoft 365 account that’s part of the organization where the meeting was recorded.

Quick Tips Before You Download

A few things worth keeping in mind:

  • Teams recordings are always saved as .mp4 files, so they’ll play in any standard video player — VLC, Windows Media Player, QuickTime, etc.
  • Channel meeting recordings are accessible to everyone in the channel, so you don’t need to ask for special access.
  • For private meeting recordings, only people who were invited to the meeting can access the file in OneDrive.
  • If you need to share the recording with someone outside your organization, the organizer can create a shareable link from OneDrive with the appropriate permissions.
  • Check your downloads folder after clicking Download — the file saves there by default and won’t give you a “save as” prompt in most browsers.
