SharePoint managed permissions very effectively from site level to list & document library level even till item level. Here we will discuss what is unique permissions in SharePoint? How to give unique permissions to list or document library in SharePoint Online?
Also, we will discuss how we can provide unique permissions to list items or documents in SharePoint Online or SharePoint 2016/2013. I will also show how to delete unique permissions from the SharePoint list or document library in SharePoint?
What is SharePoint Unique Permissions?
By default SharePoint list or document libraries inherits permissions from the parent site, which means users having full control at the site level, will have full control permission to the list or document libraries. This is the same for SharePoint Online or SharePoint 2016/2013.
But sometime you may get a requirement to give permission to suppose an HR Document Library only to HR people, other people should not have access. There may be some confidential documents in a document library, which you want to give access to specific people.
In these scenarios, you can choose SharePoint unique permission. In those cases, the specific list or document libraries will not inherit permissions from the parent site, instead, the permission has been given at the document library or list level.
We can also provide unique permissions at the item or document level in SharePoint.
How to give unique permissions in Document library in SharePoint
Here we will see how to give unique permission into a document library in SharePoint Online or SharePoint 2016/2013.
Follow the below steps:
Step-1:
Open the SharePoint document library into which you want to enable or give unique permission.

Step-2:
From the ribbon, click on the “LIBRARY” and then click on “Library Settings” which is present in the ribbon as shown in the below figure.

Step-3:
In the “Library Settings”, click on the “Permissions for this document library” which is present in the “Permissions and Management”.

Step-4:
Here go to the “PERMISSIONS” which is present in the ribbon. Then click on “Stop inheriting permissions” to break all the permissions. Then a message will display like the given screenshot and then click on “ok”.

Step-5:
Here select all the group which is present by default as well as which u were creating before and then go to the “Remove User Permissions” which is present in the ribbon for removing all users/group.

Step-6:
Go to the “Grant Permissions” which is present in the ribbon to give the permission to all users or groups which you can show in the below screenshot.

Step-7:
Select a particular user or a group which you were created before in the active directory for giving the Unique level permission in Document library whereas I created a user which named as “Preeti”. It means what user or group you will select, that specific user or group can see that selected Document library. Then click on to “Share”.

Step-8:
Here it will display the username as “Preeti”, type as “User” and Permission level as “Edit” like as the given screenshot.

You can give unique permissions to a particular user or even you can give unique permissions to a SharePoint group.
How to delete a Unique permission from SharePoint Document library?
Once you have given unique permissions to a document library, you can also revert back to inherit permission from the parent. Follow below steps to delete unique permissions from SharePoint Online document library.
Step-1:
Click on “Delete unique permissions”. Then it will display a message like below screenshot. Click on “ok”.

Step-2:
After deleting the unique permission, here we can see all the inheritance parent group like this given screenshot which is present below.

Now the document library inherits permissions from the parent in SharePoint Online or SharePoint 2016/2013.
How to enable Item level unique permission in SharePoint Online?
We can enable the Item level unique permissions for a list or document library by using these following steps-
Step-1:
Create a List whereas I created named as “TSgroup” and add some items in that List by using “new item” where I added, “Info-1”, “Info-2” and “Info-3” like the given below screenshot.

Step-2:
Select a particular Item of a List and click on the below “…”. Then go to the “Advanced” option and then click on “Manage Permissions” like below screenshot.

Step-3:
Here go to the “PERMISSIONS” which is present in the ribbon. Then click on “Stop inheriting permissions” to break all the permissions. Then a message will display like the given screenshot and then click on “ok”.

Step-4:
Here select all the group which is present by default as well as which you were created before and then go to the “Remove User Permissions” which is present in the ribbon for removing all users/group.

Step-5:
Go to the “Grant Permissions” which is present in the ribbon to give the permission to all users and groups which you can show in the below screenshot.

Step-6:

Here we can see the list of an item which named as “Info-1” (which is an Item level permission) by login the user named as “Preeti”.

Step-9:
Similarly, if you can open this Item in another login id user as I created “Preetish”, here it will not show the item which I have given to item level permission named as “Info-1”.

How to delete unique permissions from SharePoint list item?
We can also delete unique permissions for SharePoint list items by following below steps:
Step-1:
Select the Item of a List and then click on “…” option. Click on the “Advanced” and then click on “Manage Permissions”.

Step-2:
Click on “Delete unique permissions”. Then it will display a message like below screenshot. Click on “ok”.

Step-3:
After deleting the unique permission, here we can see all the inheritance parent group like this given screenshot which is present below.
