Microsoft 365 Reports in the Admin Center

Microsoft 365 Reports make it easier to see how employees at your company use the services.

Imagine you want to know how many people visit your SharePoint sites and what they are viewing or updating, whether it is a department site, project team site, or executive workspace. In order to achieve this, the Microsoft 365 Admin Center offers a SharePoint Usage option.

Microsoft 365 Reports are accessible for the previous 7 days, 30 days, 90 days, and 180 days. For all reporting periods, data won’t be available straight away. Within 48 hours, the reports become available.

Who can see Microsoft 365 Reports

The Microsoft 365 Reports are only visible to users with the following permissions:

  1. Global Administrators: We advise only a small number of employees in your company to have this position. It decreases the risk to your company.
  2. Exchange Administrators
  3. SharePoint Administrators
  4. Skype for Business Administrators
  5. Global reader (with no user details)
  6. Usage Summary Reports reader (with no user details)
  7. Reports Reader
  8. Teams Administrator
  9. Teams Communications Administrator
  10. User Experience Success Manager (with no user details)

Access Microsoft 365 Reports Dashboard

  • Sign in to Office 365 with your Microsoft credentials.
  • Go to the App Launcher -> Click on Admin.

  • For all reports, user information is by default hidden. The first picture below shows how the user list will appear.
  • After making the necessary changes in the Microsoft 365 Admin center, the user name will appear as seen in the second image below.

  • A global administrator can rapidly modify that setting in the admin center if you want to show user-level data when you’re generating reports.
  • Reports include details on the usage data for your company. Reports by default show data with recognizable names for users, groups, and sites.

Following these steps in the Microsoft 365 admin center will enable you to display user details in Microsoft 365 Reports:

  • In the Microsoft 365 Admin center, go to Settings -> Org Settings -> Services page.
  • Select Reports.

  • Uncheck the statement Display concealed user, group, and site names in all reports, and then save your changes. Once you have saved, a successful message will appear on the top like “Changes saved” as shown below.

What happens to usage data when a user account is deleted?

Microsoft will remove use information associated with any user whose account is deleted within 30 days. Users who have been deleted will not show up in the User Details table, but they will still be counted in the Activity chart totals for the times they were active.

However, the report displays the user’s usage for that day in the User Details table when you choose a specific day, up to 28 days from the current date.
