Microsoft 365 Reports in the Admin Center
Microsoft 365 Reports make it easier to see how employees at your company use the services.
Imagine you want to know how many people visit your SharePoint sites and what they are viewing or updating, whether it is a department site, project team site, or executive workspace. In order to achieve this, the Microsoft 365 Admin Center offers a SharePoint Usage option.
Microsoft 365 Reports are accessible for the previous 7 days, 30 days, 90 days, and 180 days. For all reporting periods, data won’t be available straight away. Within 48 hours, the reports become available.
Who can see Microsoft 365 Reports
The Microsoft 365 Reports are only visible to users with the following permissions:
- Global Administrators: We advise only a small number of employees in your company to have this position. It decreases the risk to your company.
- Exchange Administrators
- SharePoint Administrators
- Skype for Business Administrators
- Global reader (with no user details)
- Usage Summary Reports reader (with no user details)
- Reports Reader
- Teams Administrator
- Teams Communications Administrator
- User Experience Success Manager (with no user details)
Access Microsoft 365 Reports Dashboard

- Sign in to Office 365 with your Microsoft credentials.
- Go to the App Launcher -> Click on Admin.
If you can not see the Admin under the Apps section, click on All apps -> and select the Admin option.

- On the Microsoft 365 admin center page, click on Show all -> Expand Reports -> Select Usage as shown in the screenshot below.

- When we select the Usage option, the Usage screen below opens up to view all of the Microsoft 365 Report usage details.

View licensing information of Microsoft 365 Reports
Follow the instructions below to determine how many licenses you have assigned and unassigned:
- In Microsoft 365 Admin center, Expand Billing -> Click on the Licenses page.

- To view who is licensed, unlicensed, or a guest, in the admin center, Open the Users -> Active users page.

Show user details in the Microsoft 365 Reports
Next, We will see how to show user details in the Microsoft 365 Reports.
- For all reports, user information is by default hidden. The first picture below shows how the user list will appear.
- After making the necessary changes in the Microsoft 365 Admin center, the user name will appear as seen in the second image below.

- A global administrator can rapidly modify that setting in the admin center if you want to show user-level data when you’re generating reports.
- Reports include details on the usage data for your company. Reports by default show data with recognizable names for users, groups, and sites.
Following these steps in the Microsoft 365 admin center will enable you to display user details in Microsoft 365 Reports:
- In the Microsoft 365 Admin center, go to Settings -> Org Settings -> Services page.
- Select Reports.

- Uncheck the statement Display concealed user, group, and site names in all reports, and then save your changes. Once you have saved, a successful message will appear on the top like “Changes saved” as shown below.

What happens to usage data when a user account is deleted?
Microsoft will remove use information associated with any user whose account is deleted within 30 days. Users who have been deleted will not show up in the User Details table, but they will still be counted in the Activity chart totals for the times they were active.
However, the report displays the user’s usage for that day in the User Details table when you choose a specific day, up to 28 days from the current date.

Suppose you want to view all the SharePoint site usage reports in the Microsoft 365 Admin center. To achieve this, follow the instructions below:
- Click App Launcher -> Admin -> Show all -> Expand Reports -> Select Usage -> Click SharePoint.
- On the Activity page, you can see all the usage details like Files, Pages, Users, etc. as shown below.
